CRM for distributors who still know the book

Chris wrote the same problem up for MDM: Outside Sales is Still Retyping the Day.

Most CRM software sold to distributors is really order entry, route management, or reporting on ERP history. Useful work. It is not the thing your outside reps skip.

What they skip is writing down the call. So the visit never gets logged, the Friday pricing promise lives in a text thread, and the forecast is whatever the owner remembers. ClearRove is a CRM for distributors built around that one gap: debrief the call, read the updates Rove proposes, confirm, and the record is current.

Fit

Who this is built for

We are narrow on purpose. This is a CRM for wholesale distributors with a counter and a field team, not a horizontal platform for every industry.

  • Owner-operated wholesale houses, roughly 35 to 150 people, where the owner or a sales manager still knows the accounts by name
  • A real counter plus outside reps who spend most of the week in trucks, on job walks, and at customer shops
  • Inside sales quoting all day and needing the same account history the field rep has
  • A book of business that lives in heads, phones, and a shared spreadsheet, and does not transfer when someone leaves

If you are a national distributor with a CRM team and a Salesforce instance already wired into your ERP, we are probably not the move this year. If you are the owner who still takes the hard calls, and the book would be hard to reconstruct if your best rep retired, keep reading.

The actual job

What a distributor CRM has to do

Four jobs. Everything else is a feature list. If a CRM does not do these, the pipeline still lives in someone's head.

One book of business

Counter, inside sales, and outside reps working the same account record. Not a rep's notebook, an owner's spreadsheet, and a quote history nobody cross-references. When a customer calls in about a special order, whoever answers should see the last conversation.

A next step on every live account

Distribution runs on the callback. A quote sitting with purchasing is not a stage, it is a Thursday. The CRM has to hold the date and surface it, or follow-ups happen only when someone happens to remember.

Field and counter see the same record

The outside rep learns something at the customer's shop. Inside sales needs it before the next quote goes out. That handoff is where most distributor deals actually leak.

No evening data-entry tax

Reps do not lose deals because they lack a CRM. They lose them because updating one costs an hour after dinner, so it does not happen. If logging is slower than not logging, the CRM goes stale and the forecast is fiction.

How it works

How ClearRove does it

Debrief-first, confirm-before-write. Rove drafts; the human decides.

01

Debrief the call in plain language

After the stop, the rep says what happened — in the truck, at the counter, or from a laptop. "Saw Marcus at the shop, they are re-bidding the hotel job, wants pricing on the 4-inch by Friday, purchasing manager is new." Palmetto and Marcus are a fictional house and contractor — the story, not a sales-area claim. No form, no picklists.

02

Rove drafts the CRM updates

Rove proposes the changes it thinks follow: log the visit, add the new contact, move the opportunity, create the Friday pricing task, and draft the follow-up email. Nothing is written yet.

03

The human confirms before anything writes

The rep reads the proposed changes and confirms, edits, or rejects. Confirm-before-write is the rule, and every action Rove takes is recorded and reversible. That is how the record stays trustworthy enough to run a forecast on.

04

The next step exists whether or not anyone remembered

The task and the date come out of the conversation, not out of a rep's discipline at 9pm. That is the whole difference between a CRM you run the business on and one you update before the Monday meeting.

Rove is included on Growth and above. More detail on the workflow is on the product page, and the reasoning behind the design is in why ClearRove.

Honest comparison

Where other tools fit better

We are one CRM built for this motion, not the only software a distributor can buy. Here is how we would tell you to think about it.

Versus Salesforce or HubSpot

They will do more than we do, and they cost more time to get there — admin work, per-seat math, and a build before the first useful day. For a 60-person wholesale house without a CRM admin, the risk is not features. It is a configured system nobody logs into.

ClearRove vs Salesforce and HubSpot

Versus the spreadsheet you have now

The sheet is a fine list and a bad reminder system. It works until more than one person sells or a follow-up has to survive a busy week. If you can name the next step on every live account without opening a file, stay put a while longer.

What no CRM actually costs you

Versus ops and route CRMs

Tools like SimplyDepo, White Cup, and SupplyMover are built around orders, routes, inventory, and ERP data — order entry in the field, sales analytics on invoice history, route management. Those are real problems and they solve them. If your pain is order capture, routing, or reporting off ERP transactions, one of those is likely the better buy. ClearRove is built around the sales conversation instead: the debrief, the next step, and the follow-up.

A fair test: write down the last five things that went wrong on an account. If most of them are shipping, stock, or invoicing, buy ops software. If most of them are a call nobody logged and a callback nobody made, that is the gap we built for.

Pricing

Flat for the team, not per seat

Adding a counter person or an inside sales hire should not change the bill.

Starter is $499/month. Growth is $999/month with Rove included. Scale is $1,899/month. Enterprise is custom. Each plan has a one-time onboarding fee equal to one month.
